Avona Elementary PTA

Officer Responsibilities

  President

Must attend all meetings, coordinate the work of the committees to ensure that the objectives are being promoted and to serve as a member on all other committees except the nominating, election and auditing committee.

  1st Vice President

Acts as an aid to the President and in the absence of the President performs the duties of the President.

  2nd Vice President

Ensure that PTA activities are in accordance with the policies of the school district, reviews and approves release of notices sent home to the parents students.

  Secretary

Record the minutes of all meetings, file all records, have a current copy of the by-laws and maintain a membership list.

  Treasurer

Have custody of the funds, maintain a full account of the funds, make disbursements in accordance with the budget, keep a full and accurate account of the receipts and disbursements in the books, provide a written financial statement at each meeting, present an annual report of the financial condition, have the accounts audited annually and report those findings of the audit.

  Teacher Representative

Representative for the Avona Elementary School Teachers.

Committee Responsibilities

  Assemblies and Class Trips

Organizes class trips for all grades including bussing, chaperones and funds associated with those trips. Schedules age appropriate assemblies in accordance with approval of the Principal.

  Book Fair

Held twice a year. Fall to co-inside with Open House and Spring to co-inside with Science Fair. Coordinates volunteers to help and prepare a schedule for the class times. Deposit and record all funds collected. Send out all promotions to students.

  Communications & Publicity

Publish a newsletter at least every 6-8 weeks. Post communications such as fund-raisers on the PTA bulletin board outside at the back entrance of the school. Responsible to call in the newspaper for any functions suitable for publicity upon the principals approval.

  Faculty Snacks Stocks the PTA owned snack machine in the faculty lounge. Maintain accurate inventory of items including purchase price, selling price, items on hand and total items sold. Maintain accurate record of all expenses and deposits. This earns the PTA extra funds for our activities.
 
  Family Fun Nights Coordinate all activities for Math Book Bingo night, Board Game night and Nights without Mom. Send out all promotions regarding the above mentioned activities.

  Fundraising

Fundraisers. Send out all promotions, collect funds and coordinate helpers.

  Health and Safety

Responsibilities include American Education Week, Jump Rope for Heart and the Mitten Tree. Sending all promotions to students for the above mentioned functions as well as coordinating volunteers to help.

  Holiday Shoppe

The Holiday Shoppe will be held during the children’s recess time this year. Responsibilities include selecting which company’s products will be sold, sending all promotions regarding the sale, coordinate volunteers and record all funds collected.
Responsibilities also include presenting at a PTA meeting suggestions for the Christmas present for the students followed by a vote.
 

  Hospitality

Provide refreshments for any school function that is fitting of refreshments. Responsibilities also include Teacher Appreciation Week, the first full week in May every year.
 

  Membership

Promote PTA. All executive board must be members. Anyone can join PTA. Encourage all teachers and staff to join. Collect funds and keep a list of all members.

  Parent / Student Representative
 
Assist parents and students in mediating issues with the PTA.
  Read Across America

Held the first full week in March. Coordinate activities or assemblies for the students to encourage reading. Promote literacy.

  Room Mother

Responsible for Fall Festival, Winter Fest and Last Day of School Festivities.

  School Spirit

Decorating the windows to coordinate with the seasons. T-shirt sale. Also responsible for the fifth grade T-shirt signing for field day.

  School Store

Held every Wednesday morning. Ordering supplies and handling of the funds.

  Science Fair

Held in April to coincide with Book Fair. Supply the students with a booklet of ideas and all promotions to encourage student participation.

Special Programs

BOXTOPS for education, Campbell Soup Labels, Tyson A+ Program and Redners Warehouse Markets programs. Handle all promotions and contests to encourage students to contribute. Special Programs also sends a card to every student on their birthday.

  WebMaster Maintains and improves the Avona Elementary School PTA web site.
 
  Yearbook

Must be computer savvy. Responsible to ensure pictures are taken at ALL events using a digital camera. Coordinate with the teachers for the Fifth grade cover and present to the board for vote. Assemble all pictures of students, create pages of events and submit to the yearbook company. Handle all promotions to students, collect funds and ensures delivery to the yearbook to the students. Responsible to coordinate the fifth grade yearbook signing party.
